An Inventory Visibility Checklist for OOH Media Owners

Why visibility slips

Inventory visibility rarely fails all at once. It erodes: one market keeps its own sheet, one rep holds faces informally, one digital rotation is managed by the person who set it up. Each is reasonable on its own and collectively they make the availability picture unreliable.

The checklist

Work through these with your traffic and sales leads. Any answer that requires a phone call is a gap.

  • Can a rep see availability without asking another department?
  • Is a hold visible to everyone the moment it is placed?
  • Do digital rotations show in the same view as static faces?
  • Are booking conditions distinguishable at a glance?
  • Is there a record of demand for booked inventory?
  • Are restricted locations flagged before a booking is made?
  • Does a cancellation free the inventory automatically?
  • Can you see occupancy for a future period, not just today?
  • Would two people asked the same availability question give the same answer?

Closing the gaps

Most gaps close by moving availability out of documents and into a shared, interactive chart where holds, bookings and cancellations update in one place. Waitlists capture demand you would otherwise lose, and blacklists keep restricted locations out of proposals before they cause an awkward conversation.
